Finance & Accounting Operations Specialist (Part-time)
Part-time (~20–25 hours/month) finance & accounting operations for Lemi AI Vietnam: payroll, payments, invoices & documents, PIT, social insurance, AR/AP, and bank reconciliation — working directly with the Chief Accountant (who retains review, control, and approval).
Role overview
Lemi AI Vietnam is looking for a part-time Finance & Accounting Operations Specialist to own the company’s recurring finance and accounting operations.
This role focuses on execution and operations: payroll, payments, invoices and supporting documents, personal income tax (PIT), social insurance, payables and receivables, and bank reconciliation.
You will work directly with the Chief Accountant. The Chief Accountant remains responsible for review, control, approval, and accounting compliance.
Working arrangement: part-time. Expected load about 20–25 hours per month (roughly 5 hours/week on average), flexible with real workload — heavier around payroll cycles, month-end, and quarter-end.
What you will own
Payroll & people-related amounts
- Prepare monthly payroll for employees.
- Track salary, allowances, bonuses, deductions, advances, and reimbursements.
- Calculate employee-related deductions as required.
- Prepare payroll for Chief Accountant review before payment.
- Prepare payroll payment files/batches in TCB Business.
- Keep complete payroll records, worksheets, and supporting documents.
- Support payroll issues for both Vietnam-based and overseas employees.
Personal income tax & social insurance
- Calculate and track employee personal income tax (PIT).
- Maintain tax codes, dependents, and other data needed for tax calculation.
- Prepare data/files for PIT filing and finalization.
- Track and execute work related to social, health, and unemployment insurance (BHXH, BHYT, BHTN).
- Handle add/remove/update procedures for employees when they arise.
- Coordinate with the Chief Accountant and advisors on complex tax or legal matters.
Banking & payments (create instructions only)
- After appropriate bank and company permissions: act as Instruction Creator in TCB Business.
- Create payroll, vendor, tax, reimbursement, and approved expense payment instructions.
- Check and prepare supporting documents before creating instructions.
- Track payment status and escalate failed, incomplete, or incomplete-document cases promptly.
- You do not have authority to approve instructions you create — an authorized Approver reviews and approves first.
Invoices, documents, AR/AP, expenses & reconciliation
- Receive and manage inbound invoices; support outbound e-invoices.
- Check basic invoice accuracy; collect and file accounting documents, contracts, payment requests, receipts, and statements.
- Ensure every receipt/payment has an appropriate document set; keep filing orderly and retrievable.
- Track payables and receivables, due dates, and aging; prepare payments after approval; reconcile to invoices and contracts.
- Review employee reimbursement/advance requests and supporting docs; track advances and settlement completeness.
- Reconcile bank activity to payroll, invoices, vendor payments, reimbursements, customer collections, and other flows; flag undocumented or unclear items; prepare monthly bank reconciliation.
Month-end close checklist
- Payroll completed and paid; PIT and insurance obligations updated.
- Expenses and reimbursements processed; inbound/outbound invoices updated and filed.
- AR/AP updated; bank accounts reconciled; missing documents identified.
- Monthly finance–accounting pack organized; open issues summarized for the Chief Accountant / management.
Monthly deliverables
- Monthly payroll and payroll payment file.
- PIT and related insurance calculations/files.
- AR list, AP list, approved vendor/expense payment instructions.
- Employee advance/reimbursement files; invoice and document pack for the month.
- Bank reconciliation and a list of open items needing action.
- Monthly finance–accounting pack for Chief Accountant review.

What good looks like
- Work finished on time with accurate numbers and complete document packs.
- No missed recurring obligations (payroll, tax, insurance, reconciliations).
- Payments prepared with the correct dual-control process (create vs approve).
As volume grows
- Hours may adjust as headcount, transactions, customers, or vendors grow.
- Recurring finance ops stay on-time, fully documented, accurate, and controlled — reducing day-to-day load on the Chief Accountant and management.
How this role works with the Chief Accountant
You prepare, execute, and track: numbers, payroll, documents, bank instructions, invoices, AR/AP, reconciliation, and deadlines.
The Chief Accountant reviews, controls, and approves: accounting treatment, compliance, tax/payroll checks when needed, document packs, bank approvals per authority, accounting recognition, and related reporting/tax obligations.
Management approves material spend or issues per company authority.
Complex tax, legal, labor, or foreign-employee matters may be escalated to specialist advisors when needed.
This role does not replace the Chief Accountant.
What we are looking for
- Degree in Accounting, Audit, Finance, or a related field.
- At least 3 years of hands-on experience in in-house accounting, general accounting, or finance operations at a Vietnam company.
- Direct payroll experience; practical knowledge of PIT; understanding of BHXH / BHYT / BHTN processes.
- Experience with e-invoices and accounting documents; experience creating payment instructions via corporate banking.
- Understanding of AR, AP, and bank reconciliation; strong Excel or Google Sheets.
- Careful, accountable, and able to self-manage deadlines.
- Preferred: MISA or similar accounting software; startup/SME experience; overseas-employee payroll; working English; experience with banks, tax authorities, or social insurance.
- High integrity and confidentiality — this role sees salaries, bank accounts, cash flow, invoices, contracts, tax, and internal financial data.
Working rhythm
- About 20–25 hours/month to start — not a fixed 5 hours every week; time follows real work cycles.
- Typical week: ~2–4 hours. Payroll / month-end week: ~5–8+ hours depending on volume. Quarter-end or heavy filing periods may need more.
- You are judged on timely completion, accuracy, complete files, no missed recurring duties, and payments prepared through the right process.
